AI for small businesses in Ireland: where to start

A practical guide to AI for Irish SMEs: where it saves time, how to start safely, what it costs, what is funded through your LEO, and what to avoid.

Most small businesses do not need a robot. They need a few hours back each week and fewer things falling through the cracks. That is where AI earns its keep: answering, drafting, summarising and sorting, with a person checking the result.

This guide sets out where AI helps an Irish SME, how to start without wasting money, and which parts can be funded through your Local Enterprise Office.

Where AI helps a small business most

  • Phones and bookings: an AI receptionist that answers overflow and out-of-hours calls and books into your diary. We have recommended this for busy clinics.
  • Notes and admin: drafting clinical or job notes, summarising meetings and emails, filling in forms.
  • Writing: quotes, proposals, reports and replies to customers, all reviewed by a person before they go out.
  • Marketing: social posts, newsletters and website copy produced in house instead of outsourced.
  • Know-how: a shared assistant that knows your price list, procedures and FAQs, so staff stop asking the same questions.

How to start without wasting money

  1. Write down the three jobs that eat the most time each week. Start there, not with a tool.
  2. Try the AI built into tools you already pay for (email, office, accounts, CRM) before buying anything new.
  3. Run a small pilot with one person for two to four weeks and measure the time saved.
  4. Write a one-page AI policy: what data can go into which tools, and that a person checks anything sent to a customer.
  5. Train the team. Most of the value comes from people knowing how to ask well and check the answer.

What it costs, and what is funded

Most useful AI tools for a small business are subscriptions, often a small monthly cost per user. The bigger cost is setup and the time to change how the team works.

  • Advice: if your business qualifies for Digital for Business, an approved consultant's review, which can cover AI, is funded through your Local Enterprise Office.
  • Software: the Grow Digital Voucher covers 50% of new off-the-shelf software, AI tools included, up to €5,000, after Digital for Business.
  • Not funded under Grow Digital: custom or bespoke software builds.

Risks to manage

  • Data: do not put customer, patient or staff personal data into a tool unless you know where it goes and have a GDPR basis for it.
  • Accuracy: AI can sound right and be wrong. Keep a person checking anything that leaves the business.
  • The EU AI Act: most small businesses are users of AI, not makers. The main duties are basic AI literacy for staff and telling people when they are dealing with an AI. See our EU AI Act guide.

Questions

Is there a grant for AI in Ireland?

Yes, indirectly. AI advice can be part of the LEO Digital for Business programme, and the Grow Digital Voucher covers 50% of new off-the-shelf software, AI tools included, up to €5,000.

Where should a small business start with AI?

With the three jobs that take the most time each week. Try the AI already inside your existing tools, run a short pilot, and measure the time saved before buying more.

Do I need an AI consultant?

Not always. If you want an independent view of where AI fits, what to buy and what to avoid, a short review usually pays for itself. AppAdvisor's AI Readiness Assessment is free.

Is it safe to use ChatGPT for business?

It can be, with rules: keep personal data out unless you know where it goes, use business plans with data protections, and have a person check anything sent to a customer.
